Communication is an essential part of the document workflow. In PandaDoc, you can easily add private messages, mention your team members and notify the client in public messages.

Private messages and tagging colleagues

You can post private messages on a document in any status. Click on the chat icon in the top right to access chat.

On a draft document or a template, you can post private messages only. On a document in any other status, you can switch between public and private messages: click in the message section and change the message mode to private or public.

Private messages have a light yellow background and can only be visible to your team members. Mention colleagues by using “@” and typing their name or email address.

When you mention a team member, they will receive a notification email. No notification is sent when a private message is posted without tagging anybody.

Here’s how email notifications for chat messages are sent:

  • Once the first message is sent, the system will wait up to 2 minutes for the next message. If no new message follows within 2 minutes, an email notification is sent.

  • If the next chat message is added less than 2 minutes after the first one, the system will wait until one of the following events occurs, then send an email notification containing all messages:
    - If 2 minutes have passed after the last message has been added
    - If 20 messages have been added (even within 1 minute)
    - If a total of 10 minutes has passed since the first chat message was added

Public messages

You can post public messages on any document that is not in the Draft status. Click on the chat icon in the top right to access it.

To switch between private and public messages, click in the message section and change the message mode to private or public.

Public messages have a white background and are visible to both team members and recipients.

When you post a public message, document participants will receive a notification email. It’s an excellent way to notify the client or remind them to sign the document.

Here’s how email notifications for chat messages are sent:
